GUIDELINES FOR SCCTP WORKSHOP SPONSORS
3-6 MONTHS PRIOR TO THE WORKSHOPDetermine the time and location of the training session and the number of days.Some workshops are 2 day, others are 1 to 1 1/2 days. It is recommended that you allow the maximum time for each workshop.Contact Les Hawkins lhaw@loc.gov so that the workshop can be added to the SCCTP Web site schedule and to verify the latest version available. Determine who the instructors will be.The lists of trainers appear below. Contact Les Hawkins for help or suggestions. If the workshop is two or more days, two instructors should be used. Serials Trainers
Determine the approximate enrollment.The maximum class size should be 20-25 people.Determine the costs of the workshop and advertise.A major goal of SCCTP is affordable training. The program does not recommend
course
fees, however, since they will vary among different sponsors. 6 WEEKS PRIOR TO THE WORKSHOP:Order manuals, plan services, e.g., refreshments, ASL interpreter, etc.Order download rights for course materials' PDF files from CDS: Description of Materials Determine how many copies of the manual are needed and what copying services will be used. Determine details for local copies of the manual (e.g. number of binders needed, number of section dividers to be used per binder, weight and quality of paper) and arrange acquisition of necessary materials. Equipment needs and room set upThe course is designed to be given using PowerPoint, version 7.0. (Check with the trainees to be sure that this is what they plan to use and not overheads.)Equipment needs:
Room set up:
Receive and process registrations and payments/billing documents.Confirm registrations.Maintain a current registration list (facilitates answering questions, e.g., "Am I registered?". etc.). Once trainees have registered ask them to fill out Needs Assessment .
The Basic Serials Workshop and the Holdings Workshop have pre and post workshop exercises as components. Ask trainees to work on the pre-workshop exercises and bring them with them to the session.Preparations
DURING THE WORKSHOPProvide logistical support for the session.
Have trainees complete the evaluation form, found as an appendix in each trainee manual.Provide trainees a certificate of completion .
