Notification Procedure for PCC Record Available in Utility for LC "In-process" Record

Searching the LC-Online Catalog is not a requirement of the BIBCO Program; however, many institutions routinely do so before creating a BIBCO record. Often there is in the LC catalog an "in-process" record for the title that the BIBCO library is cataloging. (Records in an in-process state can be identified by the code "ibc" (Initial Bibliographic Control) in subfield $b of LC local field 906). To reduce duplication of effort and maximize use of records created by participants, the following notification procedure has been developed.

Note that this notification is voluntary; however, if participants choose to do so, following the suggested means of notification will simplify and expedite the process.

  1. Upon creating a BIBCO record for a title that is in an in-process state at LC; BIBCO participants may use the notification web form posted on the BIBCO Home Page

  2. Alternatively, the BIBCO participant may send an e-mail message to their LC/NACO liaison with the following standard text:

    PCC record for [LCCN] available in [utility] under [utility control number]

    EXAMPLE: "PCC record for 200112345 in OCLC under #24243687"

  3. Send the following message for those pcc records that do not have a utility control number upon creation: PCC record for [LCCN] available in [utility]

    EXAMPLE: "PCC record for 200137891 available in RLIN "

The use of this text serves two purposes:

  1. The standardized text will enable the LC liaison to cut and paste the message with minimum change into the LC record.
  2. The standardized text will enable LC to monitor the situation through searching.

Note: Prior to April, 2000 certain in-process records were distributed by LC. That distribution was discontinued in April, 2000; such records are no longer distributed to the utilities nor to any other CDS customers with the exception of encoding level "5" (in-process/preliminary) records created in the Library's overseas offices (field 042 =lcode).

  • Do not report upgrades of LC-overseas office records.
  • Do not report upgrades to any LC records found in the utilities.
  • Report only newly created (i.e. original) BIBCO records for titles known to be in-process at LC.
