OCLC Authority National Review File and New Review Files

OCLC Program for Cooperative Cataloging members have been able to share
and/or review records either using the OCLC Authority National Review File
with LC reviewers or other means for authority and bibliographic records
with non-LC reviewers. Other OCLC members have asked for the ability to
allow other institutions to review their records, particularly when sharing
records as a part of a consortium.
With the June 6, 2004 Connexion install, any institution using OCLC
Connexion at a limited or higher authorization may allow other institutions
to review saved bibliographic or authority records. This means that
institution "xyz" may set a preference for one or more other institutions to
review their save file records set to a review status.
As there will be no options in Connexion to submit to or to retrieve records
from the National Review File after June 5, you may need to plan ahead
accordingly by not submitting records too close to the installation date.
However, any records responded by LC reviewers after the installation will
still be available via OCLC Passport or CatME.
Reviewees will be able to
- · set reviewer default status for specific institutions to review
their bibliographic or authority records
- · submit records to default institutions and/or on-the-fly, with an
auto-save feature
- · recall a submitted record
- · search for their institution's submitted records
- · edit submitted records in their institution's save files
Reviewers will be able to
- · search for all bibliographic and authority records to which they
have access
- · search for records from a specific institution
- · view records in display mode (read only)
Reviewees and reviewers will be able to access the same edited version of a
record.
What does this mean for OCLC NACO institutions that currently use the
Connexion browser to submit authority records to the National Review File?
Prior to the June 6 installation, NACO users may
- · submit authority records to the National Review File
- · move any responded authority records to the Connexion Authorities
save file
After the June 6 installation, NACO users
- · will have no option to submit authority records to the National
Review File
- · will have no option to move responded authority records to the
Connexion Authorities save file
- · may complete work on responded authority records submitted from
Connexion via Passport or CatME
- · may use the new review file to submit or review bibliographic or
authority records
The LC Coop Team is aware of these changes and will work with you for a
smooth transition from reviewing your work in the Passport-based National
Review File to Connexion review files. You may also need to discuss with
your PCC reviewers other methods to exchange review comments, follow-up
questions, and proposed revisions, such as through e-mail.
Although OCLC will not provide the ability to contact your reviewers
directly from Connexion, you also have the option to record comments in a
952 field (a repeatable field) in both bibliographic and authority records
for the reviewer. A 952 field does not remain with the master record on a
final action such as "add" or "produce".
For PCC and other reviewers, this change in the Connexion browser
- · allows you to review bibliographic or authority records
- · replaces the functionality of the "inst" command currently used via
Passport
Passport and CatME NACO users may continue to submit records to the National
Review File and retrieve responded records from LC assigned reviewers.
Although no dates have been set yet, Passport for cataloging will be
discontinued in the future. OCLC will provide six months advance notice of
the retirement dates.
