Guide for Reference Specialists Working in Connexion
The following step-by-step guide amplifies the information for
selectors in the BEOnline+ Workflow document
on the procedures reference librarians and others selecting electronic
resources should follow when using Connexion to select online resources
to be added to Voyager and/or to create Internet Resource Guides
using the Connexion Pathfinder function.
- 5.d. Do you want to add
additional records to the Connexion database and/or additional
Connexion records to a pathfinder during this session?
Yes. Return to step 1 and repeat for the next resource to be added.
No. If you want to add flagged records to a
new pathfinder, go to Step 8.a.
If you want to added flagged records to an existing pathfinder,
go to Step 8.b.
Otherwise, EXIT Connexion.
- 6. If multiple records for
the resource are located, see if any were created or modified
by DLC, LCP, LNN, or N@F. If so, select that record. If not, briefly
view the records and select the one which appears most complete
and/or up-to-date.
- 6.a. Do the title, URL,
keywords and notes in the record selected in step 6
reflect the current "view" of the resource?
Yes. Go to step 6.a.1.
No. Go to step 6.b.
- 6.a.1. Choose "Display
holdings" under "Actions." Choose "dispay all holdings" on the
resulting pop-up screen. Do any of the symbols "LNN, DLC, or LCP"
appear?
Yes. Go to step 6.a.4.
No. Go to step 6.a.2.
- 6.a.2. Choose "Edit record
locally" under "Actions."
- 6.a.3. Choose "Update
Holdings" under "Actions." (You will get a message, "You are about
to set holdings for this record. Do you want to continue?" Choose
"OK." The system will respond with a message, " Holdings have
been updated for your institution.")
- 6.a.4. If you want to
add this resource to a Connexion pathfinder, choose "Flagged Records"
under Actions.
- 6.a.5. Did you locate
a record for this resource in Voyager in step 3?
Yes. If maintenance was needed on the Voyager
record, go to step 6.a.6.
If maintenance was NOT needed on the Voyager record,
go to 6.a.8.
No. Go to step 6.a.7.
- 6.a.6. Use the LC selector
submission form in TrackER to inform LC catalogers. This form
will ask you to supply:
- Exact title (up to the first four words of the title)
- URL of resource
- OCLC number for the record for the resource in the Connexion
Resource Catalog.
- LCCN of the Voyager Record (if applicable)
- Changes needed in the Voyager record. (if applicable)
- If applicable, the main language used on the site, if other
than English. (The default setting is English).
- If applicable, ISSN or notation that resource is an ongoing
serial with identifiable, discrete issues. such as numbered issues.
- If applicable, LC archiving status.
- 6.a.7. Use the LC selector
submission form in TrackER to inform LC catalogers. This form
will ask you to supply:
- Exact title (up to the first four words of the title)
- URL of resource
- OCLC number for the record for the resource in the Connexion
Resource Catalog.
- If applicable, the main language used on the site, if other
than English. (The default setting is English).
- If applicable, ISSN or notation that resource is an ongoing
serial with identifiable, discrete issues. such as numbered issues.
- If applicable, LC archiving status.
- 6.a.8. Do you want to
add additional records to the Connexion database and/or additional
Connexion records to a pathfinder during this session?
Yes. Return to step 1. and repeat for the next resource to be added.
No. If you want to add flagged records to a
new pathfinder, go to Step 8.a.
If you want to added flagged records to an existing
pathfinder, go to Step 8.b.
Otherwise, EXIT Connexion.
- 6.b. If the title, URL,
keywords and/or notes do NOT reflect the current
"view" of the resource, choose "Lock Master Record." and go through
the following steps:
- Add desired updates (i.e.URL, title, revised annotation)
- Under "Actions," choose "Flag record" if you wish to add the
record to a Connexion Pathfinder.
- Under Actions, choose "Replace record and update holdings"
in the Resource Catalog Database. Note OCLC number or make a printout
for your records. If the system responds that you are not authorized
to replace the master record, choose "Save Record" instead. Note
SaveFile number or make a print out for your records.
- 6.c. Use the LC selector
submission form in TrackER to inform LC catalogers. This form
will ask you to supply:
- OCLC number
- SaveFile number (if applicable - i.e., in Step 6.b.,
you were not able to "Replace record and update holdings" and
had to "save Record instead.).
- URL of the resource
- Full title (up to the first four words)
- LCCN (if you found the record in Voyager in step 3)
- Changes that are necessary in the Voyager record (if applicable)
- If applicable, main language used on the site, if other than
English. (The default setting is English).
- If applicable, ISSN or notation that resource is an ongoing
serial with identifiable, discrete issues. such as numbered issues.
- If applicable, LC archiving status.
- 6.d. Do you want to add
additional records to the Connexion database and/or additional
Connexion records to a pathfinder during this session?
Yes. Return to step 1 and repeat for the next resource to be added.
No. If you want to add flagged records
to a new pathfinder, go to Step 8.a.
If you want to add flagged records to an existing
pathfinder, go to Step 8.b.
Otherwise, EXIT Connexion.
Creating a new record in Connexion
- 7.a. If record is not
found in the Connexion Resource Catalog, select the Create tab,
choose "Create Single Record," and go through the following steps.
(You have the option to work in MARC or Dublin Core view):
- Make sure that title reflects what is viewed on Web page. Change
as necessary.
- Add or revise the annotation (520 note field in MARC view;
"Description" in Dublin Core view) as needed.
- If site is created by a corporate body and that information
was not automatically harvested, include a reference to the corporate
body in the annotation/description of the resource.
- Remove garbage that might have been automatically harvested
from HTML code.
- Check or correct URL as needed.
- Add subject keywords if needed (653 field in MARC view; "Subject"
in Dublin Core view).
- Under Actions, choose "Update holdings " so that resource will
be added to the Resource catalog; do NOT choose "Save Record."
Note number of the new record.
- If you want to add the resource to a Connexion Pathfinder ,
choose "Flag" under Actions.
- 7.b. Use the LC selector
submission form in TrackER to inform LC catalogers. This form
will ask you to supply:
- OCLC number of new record
- Title of resource (up to the first four words of the resource.)
- If applicable, main language used on the site, if other than
English. (The default setting is English).
- If applicable, ISSN or notation that resource is an ongoing
serial with identifiable, discrete issues. such as numbered issues.
- If applicable, LC archiving status.
- 7.c. Do you want to add
additional records to the Connexion database and/or additional
Connexion records to a pathfinder during this session?
Yes. Return to step 1 and repeat for the next resource to be added.
No. If you want to add flagged records
to a new pathfinder, go to Step 8.a.
If you want to added flagged records to an existing
pathfinder, go to Step 8.b.
Otherwise, EXIT Connexion.
- 8.a. To add your flagged
records to a new Pathfinder:
When you have finished searching all of the records in Connexion
for this session,
- Under the Pathfinder tab, if using Constant Data templates
for your project, make sure the correct template has been
set as the default. (To choose a template, choose "Constant
Data," from the Search pull-down menu, search by keyword,
and press the "Select default" button next to the correct
constant data template.) If not using a template, skip to
the next step.
- choose the "create Pathfinder" Option
- Choose to create a new blank Pathfinder Page.
- Fill in the title and footer sections.
- Under Functions, choose "Add."
- Under Link, choose "Flagged Records." [A pop-up window
will appear asking if you want the flags cleared after inserting
the records. Choose OK] All of the records you have flagged
will automatically be inserted into the pathfinder.
- From Actions: either choose "Save Pathfinder" and set the
status (if you want to continue working on it) or choose "Add
Pathfinder," to add it to the Connexion Pathfinder database.
[Note, you can still make changes to pathfinders which you
have added to the Connexion Pathfinder Database
at any time. Such pathfinders will remain in the Pathfinder
database indefinitely unless you delete or change them. Pathfinders
added to the Pathfinder Save File, on the
other hand, will expire in 179 days, if they are not added
to the Pathfinder Database during that time.]
- If you want to have a link from an LC web page to the pathfinder
in Connexion, choose "Export Pathfinder Link," under "Actions,"
in order to get the Connexion URL for the pathfinder. Copy
the "PURL" version of the URL and give to your webpage administrator
to include on your Division web page.
- 8.b. To add your flagged
records to a Pathfinder you began previously:
When you have finished searching all of the records in Connexion
for this session, go to the Search Options under the Pathfinder
Tab, and search for your pathfinder.
- Open the Pathfinder in edit mode
- Go to the last entry before the point where you want the
new entries to appear.
- Under Functions, choose "Add."
- Under Link, choose "Flagged Records." [A pop-up window
will appear asking if you want the flags cleared after inserting
the records. Choose OK] All of the records you have flagged
will automatically be inserted into the pathfinder at that
point.
- From Actions: either choose "Save Pathfinder" and set the
status (if it is incomplete and you want to make additional
changes or additions to it before submitting it to the Connexion
pathfinder database) ) or choose "Add Pathfinder," to add
it to the Connexion Pathfinder database. [Note, you can still
make changes to pathfinders which you have added to the Connexion
Pathfinder Database at any time. Such pathfinders
will remain in the Pathfinder database indefinitely unless
you delete or change them. Pathfinders added to the Pathfinder
Save File, on the other hand, will expire in 179
days, if they are not added to the Pathfinder Database during
that time.]
- If you want to have a link from an LC web page to the pathfinder
in Connexion, choose "Export Pathfinder Link," under "Actions,"
in order to get the Connexion URL for the pathfinder. Copy
